We want to run our company with a smaller team and a lot more automation. This is our plan, the reasoning behind it, and what we are doing at the moment. We are sharing it openly, including what may not work.
Why automate at all
Three problems pushed us.
Reaction time. If a manager answers a client within three to five minutes, the chance of closing a deal or getting a payment is high. If the answer comes five hours later, the client has probably already bought from a competitor.
Lost focus. In chats, tasks pass by in passing. Whatever is not recorded gets forgotten.
The human factor and hiring. People get tired, change jobs, and need management. Hiring is slow and expensive, and the more a company depends on a few individuals, the more fragile it is.
Why it is possible now
Automation used to be expensive: large budgets, big teams, costly developers. Today language models and ready-made tools make the same results far cheaper. This is what changed, and it is why a small company can now do what only large ones could.
Our model today
We currently have a team of around ten employees plus seven to ten contractors who join different projects. Task management used to be manual. One partner worked with every person individually, spending many hours a week. Our first goal was to take that load off the manager.
What we built
A bot watches the task flow around the clock: which task is set, who owns it, what the expected result is and by when. Every morning at 9:00 the manager receives a summary: project health, tasks for the day and what the team did yesterday. The next stages are marketing and sales: content distribution to many platforms without manual work, and automatic handling of enquiries.
The micro-team idea
Our five-year vision is a micro-team of three to five top specialists, each supported by five to ten AI agents in their area of work. Such a team could produce the results of a much larger company, at far lower cost and with a much higher margin, because salaries, taxes, holidays and sick leave are the main cost of a company.
Our goal for the next year is to automate up to half of our internal processes, and we will report honestly on what works, what breaks and what we pay.
